The challenge
The Rotaract Club of Kira is a fellowship of 25+ young professionals and students, chartered in 2023 by the Rotary Club of Kira and part of Rotary International District 9213. Living by "Service Above Self" and its own #TheKiraWay, the club works across four areas: professional and leadership development, environmental sustainability, community and orphanage support, and road safety and health. Its projects include the Roots of Hope Rabbitry Project at Jajja Flora's Orphanage and outreach under District 9213's road safety campaign.
Like most Rotaract clubs, Kira runs on volunteer time, and two things kept taking more of that time than they should.
- Visibility. Prospective members, partners and donors had no single place to see who the club is, what it has done and how to get involved. The club's story was spread across social media posts.
- Reporting. Rotaract clubs report regularly to their district on fellowships and member participation. Attendance was taken by hand, and fellowship records lived in phones and chat groups. Each reporting cycle meant chasing names, photos and numbers after the fact.
The club needed a professional public presence and a simple, reliable way to record fellowships and attendance, so reporting to the district would come from records already kept, not from memory.
The approach
NASDAN worked with the club's leadership to map the full cycle of a fellowship: announcing it, holding it, recording who attended, and reporting it to the district. Discovery produced three principles:
- Capture once, report many times. Attendance and fellowship details are recorded at the event, then reused for the website, club records and district reports, so nobody has to rebuild them.
- Easy enough for volunteers. Club officers change every Rotary year, so tools must be simple enough for a new secretary to pick up with no training.
- Show the club's impact. The public site should make Kira's projects, people and values visible enough to attract members, partners and donors.
The solution
NASDAN built the club's website and its fellowship management tools on one platform.
- 01 · Fellowship attendance tracking. Officers record attendance at each fellowship digitally, building an accurate, ongoing record of member participation.
- 02 · Fellowship uploads. Each fellowship is published with its details and flyer, giving the club a dated history of every gathering, from service meetings to events like the End of Quarter Karaoke Night.
- 03 · District-ready reporting. Because attendance and fellowship records are structured at the source, the club can pull together accurate reports for District 9213 without chasing data.
- 04 · Projects showcase. Dedicated pages for initiatives such as Roots of Hope and the Road Safety Initiative show partners and donors the club's real impact.
- 05 · Membership and leadership. A membership page for prospective Rotaractors and a leadership directory that's easy to update each Rotary year.
- 06 · Blog, newsletter and donations. Stories from fundraisers and projects, newsletter sign-up and a donation page turn visitors into supporters.
The results & impact
The Rotaract Club of Kira now has a professional digital home that matches the seriousness of its service work, and fellowship reporting that comes from records instead of last-minute reconstruction. Attendance is captured at each fellowship, every gathering is documented, and reports to the district are built from data the club already holds.
For a volunteer-run club whose officers change every year, that continuity matters. Each new leadership team inherits a complete record, not a chat history.
